Hello. Hello. Welcome to the Kaffeen Espresso Podcast. So you know what we never talk about enough? Not the cost of tools or consulting or courses, support or ads, but the cost of not doing. Lead generation of not doing marketing, not doing sales. Today's episode is a bit of a wake up call, but in the best way possible because if your new business and your sales and your revenue is looking patchy, unpredictable, or overwhelming, there's probably something deeper going on, and it's not just about working harder. It's about what happens when you don't have a system in place. So let's talk about the invisible cost to your money, your time, your mental bandwidth of not having consistent new business opportunities, new clients, new leads coming in. Okay, let's start with something I hear all the time. We're really busy right now, but we know we should be doing more to bring in potential new clients. Does that sound familiar? You've probably said something similar. I know shade is completely normal, but here's the problem. Busy now does not equal booked later. So many service-based businesses ride that rollercoaster of feast or famine and then wonder why their growth feels so erratic. It's not because they aren't good at what they do, it's because they've never built a marketing system, a new business system sales system to keep the right kind of work coming in steadily. Let's talk about the real costs. And I don't just mean the financial costs. I mean everything it takes from you when you don't have a clear, repeatable lead generation process. Cost. Number one is mental energy. There's nothing more draining than knowing you should be doing outreach or showing up online or chasing business opportunities, but not actually doing it. That weight, that nagging guilt in the background, it saps your creative energy. It is a mindset drain I remember feeling like this. It wasn't because we got really busy, it was actually because I was on maternity leave and I was coming back into a business that had basically been dormant, just like hibernating for an entire year. Now that was my fault. I should have had my own system running in the background. I was breastfeeding and I had another kid already, and, frankly, I was overwhelmed and just trying to keep sane. And I came back to a business. It was like walking into an attic that nobody had been into for 20 years. I hadn't done enough to prepare the business for my return because I literally hadn't had the time and capacity until my son was in nursery and I was overwhelmed. And, honestly frozen. Like I didn't know where to start. I didn't know how to put one foot in front of the other in terms of what I should be doing within my business. I was not drinking my own Kool-Aid. I was not doing the things. I was like a rabbit in the headlights. Just so startled and not knowing where to start that I didn't do anything. As it turns out an absolutely. Fabulous old client of mine, I shouldn't say old previous client of mine. Gave me an opportunity to work on a project that was huge. A giant project that he was also working on. So with one of his clients. And it was exactly what I needed at that moment in time. It was long, it was consuming. It worked out really well. Got an incredible result and it reminded me just how good I am at what I do. In a moment when I was. Feeling frozen. And that worked out fabulously for me. But in terms of what would have happened to my mental energy had that not been the case, I can see, I would've spiraled. I can see it would've been not just a nagging guilt in the background, it would've been a complete burning through of my creative energy to do anything else. So that's a bit of an extreme example. And an example of where I should have actually been doing what I recommend. But anyhow, maybe TMI. But let's move on. So cost number two are missed opportunities. And without a system in place, really you're relying on, luck, you are relying on referrals, random inquiries, people stumbling across your site and during quiet periods that luck runs out fast. So if your business has always grown on referrals, then. Congratulations. That is the best possible place to be in. It's fabulous working with just referred work just as I did in that moment that I just mentioned when I won that really big client from a previous client of my own. And it feels so good to be introduced into, the running, the option to be joining a project where you've been warm, introduced into it, you've already got a leg up on the competition who might be pitching for it. Or maybe it's just a shooting and you get to just walk in there and feel like, yes, I don't have to convince anybody. They we're already sure that I'm the right person for this. That is such a fabulous feeling. But a lot of businesses that I've worked with, that referral system that they've depended on for many years, it completely dried up in 2024. I dunno if you can relate to that. You might be one of the few who actually did exceptionally well during 2024 from referred work. But I, what I saw were a lot of businesses coming to me and saying, we've never had to do new business before. We always just had work coming to us they thought it was just them. They thought it was an isolated thing.'cause we don't often share openly with one another about our struggles because we are, trying to keep up the illusion that everything is perfect, especially in service-based businesses. Because we're offering our skills to our clients. And actually it felt to me a lot to explain to them that it wasn't just them. There were a lot of people in that boat and that is not an excuse. It's not a permission slip to be like, okay we'll just wait till that, to get through this rough patch. We'll ride this wave, however you wanna describe it. It is a wake up call to say you should be doing more than just waiting for referrals. You should be doing more to generate your own luck rather than hand over your control to somebody else. So what I want you to think about here is this statement. The best opportunities usually go to people who are in motion, who are visible, who are reaching out, who have something simmering, who are generating their own luck. That is a thing you can actually do. luck, is not something that just happens to you. You can become disproportionately lucky by taking action. In addition to what the universe throws at you. You can actually generate opportunities for yourself. So now I wanna move on to cost number three, which is time. And yes, it takes time to set up a system, what takes even more time writing 20 cold dms a week or try 100 posting content every day in hope of traction or starting from scratch every time you need new clients. Like literally you hand over one project, you submit on the deadline, and then you literally have to go and look for new clients. And there is the lag period between those two. So a system saves you time, long term, full stop. That's just what it does. Cost number four is your confidence. So coming back to, you know me returning from that second maternity leave, when your leads are scarce, you start questioning yourself. You lower your rates, you take on red flag clients, you panic, you spiral, all of the things that I mentioned previously. But when opportunities are flowing in, when you're speaking to people, even if you are not winning those clients, you. Feel like you are in motion, like you're taking action, like things are happening and you make better decisions. You hold your boundaries, you choose the right clients, you charge properly. Your confidence rises with consistency. And that's huge, particularly if you're a small business owner because confidence is truly a rollercoaster in a small business. And now I wanna talk to you about why referrals are not a system. So again, just coming back to referrals for a second. They're great when they happen. But they're not repeatable, and I really wanna underline this. You cannot control when somebody sends work your way, and you definitely can't scale based on those good vibes alone. Like I said, in 2024, I had so many clients tell me referrals just dried up. And it wasn't personal. It was the market budgets got tighter, people stopped recommending as freely, and agencies and consultants and coaches who were relying solely on referrals found themselves scrambling. I don't think I can repeat that enough because I think it's a real wake up call. It's a real lesson as to why we can't just hand over the direction of our business to somebody else's decision to put in a good word for you.
